Position Type: Full-time – 40 hours/week

Start Date: Starting May 25, 2026

Reports to: HR & Marketing Director

POSITION SUMMARY

Under the supervision of the Director of HR & Marketing, the Administrative Assistant plays a key role in supporting activities related to human resources, recognized as a key driver of the company’s growth.

He/she contributes to the employee experience from the very first point of contact by managing reception, supporting recruitment activities, and participating in immigration processes. Through this role, he/she also provides diverse administrative support, contributing to the efficiency and smooth operation of HR activities


POSITION SUMMARY

KEY RESPONSIBILITIES

  • Greet visitors, clients, candidates, and suppliers in a professional manner
  • Answer phone calls and manage general HR emails
  • Manage the recruitment process (job postings, resume screening, interview coordination, follow-ups)
  • Assist in coordinating internal events
  • File and organize documents
  • Support the employee immigration process (administrative follow-ups and coordination)
  • Act as a versatile resource person to support the team during absences
  • Contribute to the overall efficiency of administrative operations
  • Perform any other related tasks

PROFILE & EXPERIENCE REQUIRED

  • Minimum of 3 years of experience in recruitment or human resources
  • Bilingualism (French/English), both spoken and written, is required.
  • Knowledge of immigration processes (an asset)
  • Excellent organizational and time management skills
  • Strong attention to detail; structured and thorough
  • Warm and professional personality
  • Positive and proactive attitude
  • Quick learner with a curious mindset
  • Autonomous, resourceful, and reliable
  • Ability to adapt in a fast-paced environment
  • Team player who contributes to a positive workplace culture
  • Strong judgment and high level of discretion (confidentiality)
  • The candidate must reside in Canada and be legally authorized to work in the country.
